Great day everyone! As your business operates day by day, it is important to keep track of audit trails that involves all sales transactions transpired to and from the system on a regular basis. With a good audit trail, you know what is happening in and out of your business in order to address issues and concerns, thus further streamlining business strategy.
If you think an auditing functionality is important for your ERP software, then we have something that's built even better for you. Here's a new and enhanced auditing functionality that doesn't just let you look at changes in sales transaction records, but also lets you in on what data fields were changed, lets you use a comprehensive time period selection function that filters out audit trail entries based on when the changes were made, track the user role account used to make the changes and even find out the computer name and IP address of the computer unit used.
The Audit Trail is a very solid feature that tracks all sales transaction record and changes inside the system. It's a running record bacause it logs in all pertinent details as historical evidence of changes made from all the major transactional forms in Connected Business and from the System Manager module.
Using Connected Business' Audit Trail feature, you will benefit by:
- Knowing what, when and who changes, modifes, updates 'what' in major transaction forms such as sales quote, sales order, sales invoice, RMA and credit memo. Any modifcations are explicitly recorded.
- Filter audit trail entries by defined periods such as Between, Today, Yesterday, Last Month and Last Year. Adds up convenience by selecting the specific date and time framing options.
- Viewable audit transactions at a traceable level. All transaction changes are viewable on the specific table, field name as well as document codes.
- Draggable header codes to refine record selection. Arrange the column headers in a hierarchy in such a way that it can logically show you the entries you need conveniently. You can also right-click on the column headers to access more options by sorting the audit trail entries.
- Clean up audit trail records in a snap. Lets you delete records permanently through the Connected Business DBMC utility.
Integrated Audit Trail
Audit trail encompasses all modules in Connected Business. It is integrated in a way that with a single form, you can see the bigger picture of the activities within the system.
The impact of audit trail integrated in Customer forms paved way to easily view significant data changes made on tax used, payments, line items, etc. As stated above, audit trails are made available on sales quote, sales order, sales invoice, RMA and credit memo. You can view the audit trail on an invoice form by going to Customer module > Invoice > Find Invoice. Select an existing invoice then click on Audit Trail tab.

The Audit Trail in the System Manager module includes a more detailed records on the overall operation of the system. Audit Trail button is available on the menu options of the System Managermodule. On the Audit Trail form, select one audit trail entry view the details of the sales transaction record and the changes that was made from it.

Note that anyone who has access to Connected Business and made changes within the system will automatically be recorded in the audit trail.
Cleaning Up Audit Trail Records
If you no longer need audit trail records or wanted to make way for a new audit trail records, you may opt to delete these records through the Connected Database Management Console or Connected DBMC. You can access Connected DMC by navigating to Start > All Programs > Connected Business 13 > Tools > Connected Business DBMC 13. Alternately, you may also type in your Start Menu search bar the keywords DBMC to bring out the Start Menu shortcut to Connected DBMC.
The Connection Settings dialog will be displayed upon access of Connected DBMC. Enter the respective database server name on the Server Name field, and select the Login Authentication - either Windows Authentication or SQL Server Authentication. SQL Server Authentication requires a specific set of login credentials for you to access the database server.

Select the database to clean up the audit trail records from the Server List pane by placing a checkmark on its respective checkbox then click the Audit Trail Cleanup button from the menu options. If we've confirmed to cleanup our audit trail records, a progress bar will be displayed.
Note that this decision cannot be undone so we have to be absolutely sure if we want to continue.
